Cancellation & refund policy
Plans can change. Our policy is designed to be fair to both our guests and our team.
This policy covers event bookings at Arekas Arena and cottage and dormitory stays at Arekas Bamboo Arcadia.
1Arekas Arena (event venue)
Because of high demand for specific dates and the preparation needed for the stage and grounds, the following applies:

| 30 or more days before the event | Deposit non-refundable; catering and décor extras may be refunded |
| Within 30 days of the event | 100% non-refundable |
Rescheduling: requests must be made at least 45 days in advance and are subject to date availability.
2Arekas Bamboo Arcadia (cottages)
For individual cottage or dormitory bookings:

3Force majeure
If extreme weather, natural disasters or government-mandated lockdowns make the farm inaccessible or unsafe, Arekas may cancel bookings. Guests will then be offered a full credit note valid for 12 months or a full refund, at the management's discretion.
4Refund processing
- Eligible refunds are processed within 7–10 business days of the cancellation being approved.
- Refunds go back to the original payment method: bank transfer, UPI or credit/debit card.
5Damage and final payments
- Arekas Arena: you may be required to pay 100% of the amount before the event starts, provided no damage occurs to the bamboo structures, koi pond or landscape.
- Arekas Bamboo Arcadia: significant damage to cottage interiors or furniture will be charged to the guest or deducted from their deposit.
